General
Terms of Service
By engaging MDH Systems LLC for any service, clients agree to the terms governing project scope, timelines, deliverables, and payment obligations. All engagements are subject to a signed agreement referencing these terms in full. MDH Systems reserves the right to decline or terminate projects that conflict with FAA regulations, safety requirements, or operational limitations outside our control.

Privacy Policy
MDH Systems collects only the information you voluntarily submit through our contact or quote request forms. We do not use tracking cookies, advertising pixels, or analytics platforms of any kind. Form submissions are used solely to respond to your inquiry and communicate about your project.

Cancellation & Payment Policy
A deposit of 50% is required to confirm a booking, with the remaining balance due on or before the scheduled service date. Cancellations made more than 48 hours in advance will receive a full refund of the deposit. Cancellations within 48 hours of the scheduled flight are non-refundable due to airspace authorization, crew scheduling, and equipment preparation costs already incurred.

Client Agreements
Master Service Agreement
The MDH Systems Master Service Agreement establishes the foundational terms governing all client engagements, including liability, intellectual property ownership, confidentiality obligations, and dispute resolution procedures. A signed MSA is required before work begins on any project and remains in effect for the duration of the client relationship. Individual projects are scoped under a separate Statement of Work that operates within the MSA framework.

Statement of Work
Each project engagement is governed by a per-project Statement of Work defining deliverables, timelines, location details, technical specifications, and output format requirements. The SOW takes precedence over general MSA terms for all scope and schedule matters. Any changes to an approved SOW require a written amendment signed by both parties before work proceeds.

Client Agreements
Model & Property Release Policy
Any footage captured by MDH Systems that includes identifiable individuals requires a signed model release before that footage may be licensed, published, or distributed by the client. Footage of private property intended for commercial use requires a signed property release from the property owner. MDH Systems will not publish or distribute footage of people or private property without documented authorization on file.

Client Agreements
Data Retention Policy
Raw footage and project files are retained for 30 days following final delivery of edited materials, unless a longer retention period is explicitly agreed upon in the Statement of Work. After the retention window closes, all raw files are permanently deleted from MDH Systems' storage systems. Clients are responsible for maintaining their own archive of all delivered deliverables after receipt.

Operations & Compliance
FAA Compliance Statement
MDH Systems LLC operates exclusively under FAA Part 107 Remote Pilot certification. All commercial flights are conducted within authorized airspace, and waivers or LAANC authorizations are obtained in advance for any controlled airspace operations using FAA-approved platforms. No mission is conducted without a pre-flight airspace check, weather assessment, and operational risk review.

Insurance & Liability
MDH Systems carries commercial drone liability insurance with coverage limits appropriate for commercial UAV operations. Clients requiring certificates of insurance, additional insured status, or specific coverage documentation must submit that request at least 72 hours before the scheduled service date. MDH Systems' liability in connection with any project is limited to the total value of services rendered under the applicable Statement of Work.

Operations & Compliance
Safety Policy
Every MDH Systems flight operation begins with a pre-flight risk assessment, equipment inspection, and site safety briefing. A two-person crew — Pilot in Command and Visual Observer — is deployed on all commercial operations to maintain situational awareness and ensure regulatory compliance throughout the flight. MDH Systems reserves the right to cancel, postpone, or abort any operation due to unsafe weather conditions, airspace conflicts, or on-site hazards, without financial penalty.

Operations & Compliance
Subcontractor Policy
MDH Systems may engage vetted, FAA Part 107-certified subcontractor pilots for projects requiring additional crew, specialized equipment, or geographic coverage beyond our primary service area. All subcontractors are required to operate under MDH Systems' safety standards, carry their own insurance, and sign a subcontractor agreement before any client-facing work. Clients will be informed when a subcontractor is used on their project.
